Brother’s Cove Policies & Rental Lease Agreement
Office Hours: 9:00am - 9:00pm Monday thru Saturday, Sunday 10:00am- 6:00pm. Office is closed Thanksgiving day, Christmas Eve, and Christmas Day.
Brother’s Cove is a family owned rental community that is nestled in 400 acres of pristine countryside. Great concern went into the development of Brother’s Cove as to maintain the natural beauty of the land. Each cabin was created with subtle nuances, yet distinct to have their own personality, blending into the mountain log cabin community. The cabins are individually owned and newly built, offering the amenities listed below. Some cabins offer mountain views, a quiet forest setting, or soothing creek settings.
Amenities include but are not limited to the following:
Central Heat/Air, Iron & Ironing Board, Washer & Dryer, Microwave, Telephones with local calls, Bed Linens, Refrigerator, Pots & Pans, Toaster, Hot Tubs, Color TV (s) with Satellite, Pillows, Stove, Dishes, Coffee,Coffee Maker, Coffee Filters, Spa Baths, VCR’s Towels, Fireplace(s), Flatware/Eating Utensils, CHARCOAL or GAS GRILL, Bar & Dish Soap, Washcloths, Fire & Smoke Detectors, Trash Bags, Paper Goods (Paper Towels, Toilet Paper)
Items not supplied include:
Baby Cribs, Plastic Wrap, Flashlights, Brillo pads (scrubbers for pots/pans), Aluminum Foil, Charcoal & Lighter Fluid for grill, Starter Logs, Matches, Videos, Condiments, Laundry Soap, Spices or any food items.
Policies and Procedures:
A brief summary of policies and procedures as follows is being provided. There will be a detailed policies and procedures manual located in your cabin. Brother’s Cove wants your Smoky Mountain respite to be as carefree as possible, starting with your reservation therefore we recommend that you take a moment to read all of the following information provided to avoid any confusion or misunderstanding. If you have any questions or if we can be of assistance in any way, please give us a call on our toll free number at 1-877-276-2683 or you can call our local office number at 865-428-3962.
Reservations may be booked up to one year in advance and are encouraged. We have two seasons, off-season and in-season.
- Off-Season is: January 15 through April 30, except holidays
- In-Season is: May 1 through January 14, except holidays
- Pet Policy: We have a few pet friendly cabins and all pets must be pre-registered. Fees and restrictions apply.
- There may be a minimum night stay required during holidays, peak season, and specials.
- Holidays include: Easter, Memorial Day, July 4th, Labor Day, Thanksgiving, Christmas Eve, Christmas, New Years Eve & New Years Day.
- As a family owned and operated business, our office will be closed on Thanksgiving Day, Christmas Eve, and Christmas Day. Arrival information will be left in the late arrival box and paid in full before arrival.
- Stay 6 nights and the 7th night is free! (Subject to change pending dates requested.)
- Rates may change without notice unless confirmed.
- Applicable Local/State tax will be added for the governor and Uncle Sam
- ALL our cabins are non-smoking units. There will be a minimum $75 charge for guests caught smoking in any of our cabins.
- There will be no refunds for early departure which includes inclement weather
- It is Brother’s Cove mission to provide and maintain a family oriented environment. We book our cabins to meet the required fire and safety codes as well as the individual owner wishes. To ensure the comfort, safety and enjoyment of all our guests, Brother’s Cove Management Co. reserves the right to refuse rental or evict renters for excessive noise, dangerous behavior, and unruly conduct, violating pet restrictions or for exceeding the number of occupancy per cabin allowed. If you disregard any of these rules, you will be nicely asked to leave and all payment will be forfeited.
- Deposit Policy: We require a 50% deposit on all reservations with Visa, Master Card or money Order.
- Brother's Cove Property Management, Inc. may use any funds received from guests immediately upon receipt of such funds.
Making Reservations:
Call us on our toll free line at 1-877-276-2683. Upon receipt of your deposit you will be e-mailed a confirmation letter. Every attempt is made to guarantee a specific cabin. However due to unforeseeable circumstances, you may be moved to a comparable cabin. This is to ensure your safety, comfort and convenience. Upon arrival you will need to check in at the office, sign your rental lease, and pay the remainder of your balance in full. Again, we accept Visa, Mater Card and money orders to pay the remainder of your balance. Sorry, we do not accept personal checks. Please take a moment when you arrive at your cabin to review the detailed policies and procedures manual.
Cancellation Policy:
To cancel a reservation customer must notify Brother’s Cove in writing to cancel reservation. If canceling with more than 30 days notice prior to your arrival date, there is a $35 cancellation fee. If canceling less than 30 days prior to your arrival date, the reservation deposit is non-refundable. No refunds will be issued secondary to malfunctioning equipment, routine maintenance and early departure or for weather conditions.
Check-In and Late Arrivals:
Our goal at Brother’s Cove is to have all units available by 3 PM. However, cleaning and maintenance is sometimes unavoidably delayed by unforeseeable circumstances. If you arrive early to avoid traffic, there may be a slight delay in the occupancy of your cabin. Check-in time is between 3:00 PM or later EST. We have installed “Touch Pad” systems in all of our cabins (see enclosed instructions). This allows the renter to access the cabin after office hours and avoids the hassle of lost keys. If you arrive after office hours, which must be prearranged, you must check-in at the office the following day. Please be sure to get the address and phone number of the cabin you are staying in for family and friends in the event of an Emergency. The cabin name, address, and phone number are located on your deposit confirmation.
Check-Out/Departure 11am:
Due to incoming renters, our check out time is 11 am unless otherwise specified. Please leave your cabin clean and in the same order as your arrival (except for linens, these will be taken care of by our cleaning personnel). Please load all dirty dishes and cookware and start the dishwasher. All garbage must be sealed in provided plastic garbage bags and placed at the end of the driveway; the BBQ grill should be cleaned. A minimum fee of $50 will be charged if excessive cleaning is required. Please leave lights and televisions off. Please leave the heat set at 60 or air conditioning at 80 degrees and fireplace screen and flue closed. Leave all windows and doors closed and locked. Many of our cabins are non-smoking units. Please—NO smoking in the cabins. Containers are provided on porches for remains. Furnishings must be returned to their original positions.
Inclement Weather:
Please be aware that the weather can change rapidly here in the mountains. Although the thought of being snowed in while in a cabin is a romantic notion, please be aware that you may also not have any electricity and that the roads may be impassable at times. We recommend for you to call and check on weather conditions prior to arrival.
Touch Pads:
The 4-digit code your cabin is assigned, is the last 4 numbers of the home phone number of the person booking the cabin. This code is routinely changed. Late arrivals must be pre-arranged in order to get access code. Simply key in code to open door, and press lock button when leaving.
Housekeeping and Trash Removal:
All of our cabins provide bed linens, 2 bath towels and wash cloths per person for the occupancy of the unit along with a starter supply of bar soap, dish soap, paper goods (laundry soap is not provided). The cabin is cleaned, hot tub is cleaned and sanitized. Spa tubs are also cleaned and sanitized. Beds (except sofa beds) are made prior to your arrival. Daily maid service is not provided and guests are expected to launder towels, etc as needed during their stay. It is not necessary to wash towels or bed linen prior to departure. It is advisable to bring a large towel for hot tub use. Each cabin is inventoried after each use. Therefore, upon arrival, report any apparent damage, housekeeping issues, and shortage of furnishings or equipment to the office at: 428-3962. Garbage pickup occurs daily between 8am and 10am. Please bag your garbage and place it at the end of your driveway, and we will swing by to pick it up. If you miss the scheduled time please wait until the next day as the local wildlife are messy eaters.
Water:
While you are in the mountains and out in the country at Brother’s Cove. We do have well water and occasionally the water will have a rust tint that comes from a high iron content that is associated with well water. Laundering light colors may tint your garments.
Uninvited Seasonal Guests: (AKA: Critters & Bugs!)
Unfortunately, during the spring and fall seasons we sometimes have an infusion of bugs (lady bugs, wasps, flies, etc.). We apologize but we cannot predict Mother Nature! We will provide you with wasp spray when necessary. Please call the office at 428-3962 if you have any questions.
Hot Tubs & Spas:
It is important to note that there are certain health risks that are associated with the use of a hot/spa tub. It is the responsibility of the registered guest to inform anyone using these facilities during the duration of their stay of the potential hazards or seek recommendations from a Physician. If you are pregnant or consuming alcohol it is suggested that you not use the facilities. If you have any questions concerning the operation of the tub, call the office during business hours. Hot tub covers are for insulation purposes only and are not designed to support a person. DO NOT STAND OR SIT ON HOT TUB COVERS.
Fireplaces:
Most of our cabins are equipped with a wood burning fireplace(s), however a few cabins are gas burning. In cabins having a wood burning fireplace(s), a starter supply of wood is furnished during the months of October through March. If you require more wood or kindling, they can be purchased on site. Fireplaces may not be operational during the months of April through September. No foreign materials (plastic, foam, magazines, etc) may be burned in any cabin fireplace. Please review posted directions, and be sure flue is open while operating. Fire extinguishers are located near the fireplace and exterior of cabin. Due to several close calls, candles of any kind are not permitted in the cabins.
Telephone Service:
All of our cabins have local telephone service, in order to make long distance calls you will need a calling card with an “800” access number, a credit card or you will need to make a collect call. If this presents a problem, the office management phone will be available during the hours of 10:00am and 5:30pm. The office does not have a switchboard, therefore, it is important that you leave the phone number (located on your deposit confirmation letter) for the cabin you have rented with relatives and emergency contacts.
Lost and Found:
If you find you have left personal items behind, call our toll free number at 1-877-276-2683 or 865-428-3962 and we will try to locate the missing item(s). If the item is located, we will kindly return the item for the cost of packaging and shipping. We cannot be held responsible for lost and/or items left behind.
Television:
Because our units are privately owned homes, the method and level of TV service (satellite, antenna) is determined by the owners and by the service that is available in the area. Premium channels are typically NOT available. Brothers Cove assumes no responsibility for TV reception or operation and cannot guarantee that specific channels will be available. At best, satellite systems can be confusing, however, it is the only television reception that is available to the units we manage. If television or VCR wiring is changed to facilitate use of games, camcorders etc, it must be returned to the same condition as when received. VCR’s are available in all units. Movies are available to rent at Krogers and Movieland (see cabin manual for telephone numbers).
Maintenance/Repairs:
At Brothers Cove we do everything possible to keep all equipment in good working order and schedule maintenance tasks around renters. However, it is impossible to guarantee that all appliances, hot tubs, hot water heaters, etc. will be in working order 100% of the time. Please call the office at 428-3962 to report any problems that may arise. We do attempt to correct all deficiencies as soon as humanly possible and to schedule repairs/maintenance tasks with our renter’s privacy and convenience in mind. Unfortunately, there will be no refunds or adjustments should a problem arise.
Construction Caveat:
The Sevierville area is growing rapidly and therefore it is necessary to plan for alternate routes to avoid traffic delays. Further, Brother’s Cove is a fledgling log cabin community and under construction. Thus, some construction personnel and materials may be noted in the proximity of your cabin. Your patience and tolerance is greatly appreciated as we grow at Brother’s Cove. We cannot be held responsible for noise or loss of view, due to weather, season and or construction.
Pool Policy:
The pool is provided for guest of Brother’s Cove only. Adult supervision is required for children 14 years and younger. Pool hours will fluctuate according to season. The pool will be closed during inclement weather. Please review safety policies posted at the recreation area.
Supervision of Children:
Our mission here at Brothers Cove is to provide a family orientated environment. Our cabins are uniquely built, with many amenities not found in an average home (i.e. decks of varying heights, hot tubs, spa’s, swimming pool, spiral staircases, etc.). We ask that your children be supervised at all times by an adult, to ensure their safety.
Directions from Knoxville or I-40:
From I-40, take exit 407 and follow signs to Gatlinburg, Sevierville and Pigeon Forge. Stay on Parkway through Sevierville and into Pigeon Forge. Turn right at light #3 (321 Wears Valley Rd.) go 2.5 miles and turn right on Waldens Creek Rd. Go 5.5 miles and look for the Brothers Cove sign on the left. We are located 1.5 miles past Waldens Creek Horse Stables.
Directions from Maryville or I-75:
This route is for the adventurous as it is a true back roads journey. Please note that this route can be treacherous during inclement weather. From I-75, take State RT. 321 to Maryville. Stay on 321 towards Townsend. 10 miles out of Maryville turn left at Walland Road. Go 200 yards and turn left at East Millers Cove Road, which later turns into Waldens Creek Road. Brother’s Cove will be on your right, 9 miles after turning onto East Millers Cove Road/Waldens Creek Road.
